Creating Property Record for Blue Tags


Before starting this process you will want to get the following information:

Purchase Requisition number – if paid by Credit Card who actually paid it
Description – the description to go into AMS – Format example is: Item – Manufacturer Abbv. Manufacturer Part Number (if there is one) Short Description if need (i.e. Monitor – Dell Q2715 27" 4K Monitor)
Country of Manufacturer (COM) – Where the item was made
Location – Current Location
Serial Number – Located on the item if there is one
Warranty (# of days) – How long is the warranty for the item
Model – Model number on the item
Manufacture – Who actually made it not who it was purchased from
Export Control #
Sch B/HTS

Place Tag on item where it is visible for inventory
Photographs – photo of the item with tag on it and one showing the serial number
Replace item in box if being shipped to Joides Resolution, seal and write tag number on the outside of the box.

  1. Go to Property Record

  1. Click on Add

  1. Enter Tag number assigned in Tag ID

  1. Enter RP Code – click on magnifier then choose responsible party

  1. Enter Function – click on magnifier then choose appropriate function

  1. Enter Type – click on magnifier then choose 01 (less than $5000)

  1. Enter Category – click on magnifier then choose NRP for Non-Inventory

  1. Enter FSG – click on magnifier then select area under description that best fits


Under Component Information Section

  1. Fill in the following with information previously gathered

    1. Description;

    2. Country of Manufacturer (COM);

    3. Location;

    4. Serial Number;

    5. Warranty (# of days);

    6. Model;

    7. Manufacture;

    8. Export Control #;

    9. Sch B/HTS

  1. Tag Code – remove X then thru magnifier choose Y since usually being tagged

  1. Tag Date – Date tag was placed on item

  2. Tagged By – individual who placed tag on item

  3. Click on save – new property record is now save


Upload picture or other document to the Property Record
Take picture of item with tag and serial number in same shot if possible – file name in format of (tag number – brief description of item
Attach to record by

  1. Edit

  2. Browse

  3. Select file and Add description (same or longer)

  4. Click on ADD next to description which adds file to record

  5. Save – to actually add changes to record in database


Send email to Property Manager stating Property Tag Number, requisition and how paid (if by credit card who actually paid)
Property Manager will do the following:
Add Requisition Number and Posting cost to Property Record
NEED VOUCHER NUMBER BEFORE STARTING THIS
IF PAID BY CREDIT CARD NEED TO WAIT UNTIL VOUCHER IS ASSIGNED BY ACCOUNTS PAYABLE (Kristyn Riley) after statement it is on comes.
