IODP Asset Management System (AMS)

This is a very brief introduction to the AMS system. Information available in AMS includes orders, inventory, property and shipping. Take a little time to get used to the menus and options for looking up information.

Login


Using a web browser, go to http://mckinley.ship.iodp.tamu.edu/AMS/LoginForm.aspx
Now you are on the AMS login screen. Your Login Name is your last name. Your default Password will be set by the Administrator. Once you log in, go to the Administrator menu and select Change Password.
A note on navigating the menus. When you scroll over the menu lists, your mouse cursor will change to the "hand" symbol. Your mouse cursor must have the "hand" symbol in order to select the menu item. The "arrow" symbol will not select an item.

 

 

Click EDIT, create a new password then SAVE.

Searching for Info


Many kinds of information can be found in AMS about inventory, property items, orders and shipping. Below are the menu instructions and examples of how to use the search screens. The wildcard character for AMS is "%". It is easiest to search key words encased in "%".

Inventory

To find out information about an inventory item, go to the Inventory menu and select Item Master.




If you know the inventory number you are interested in, type it into the Part Number field and click Search. If you do not know the inventory number, click Search and the search window will display.


Use the Description field to search a keyword in the description of the item you are looking for. See example below. A list of items will display in the lower section. Click the item you want and the details will display in the Item Master screen. If the item you are looking for does not appear it may not be on our inventory. If you think the item should be on our inventory, give the details to the ALOs.


 


Orders


All orders must start with a requisition. Search for requisitions by going to Order> Search> Requisition. Fill in one or more of the criteria then click Find. Any requisition fitting the criteria will be listed below. Click on the blue triangle to display the requisition.



Requisition numbers start with the 2-digit year, 2-digit month, 3-digit counter then the initials of the person who created the requisition. The requisition below was created by Robert Mitchell in October of 2009 and was the 71st requisition created that month.

Click through the tabs in the middle of the screen to find more details about the order including note, attachments and receiving details.

Property


Property items are items with Red, Yellow, or Blue numbered tags. Details of these items are found in the Property section. If you know the property number, go to Property>Property Record then type in the number. If you need to search for property items, go to Property>Search>Record(s) as shown below. Under the Display on Rpt column you must check the fields you want displayed.

Shipping

If you are interested in knowing if items are in a shipment, use the shipping search screen by going to Shipping>Search. In this example the search is for any item with "chloride" going to Expedition 324. Note the "Instance" field where the user indicates the origin of the shipment. Click on the blue triangle to go to the item in the shipment.

 

Location Codes


All locations of the ship have an abbreviation. The first letter of the abbreviation is for the deck. For a list of shipboard locations, go to Warehouse>Warehouse Location List>Ship.
